A serious POS budget should account for five categories: software, hardware, card fees, online channels and support. We walk through what each one actually costs in 2026.
Monthly software cost
Between SEK 399 and 999 per register and month is the spread for Swedish POS systems in 2026. ViralConvert is at SEK 449/month for EatPOS including certified register, KDS licence and ongoing support.
Hardware — one-off cost
A complete register station with touchscreen, receipt printer and cash drawer costs SEK 8,000–15,000. iPad-based setups can start at SEK 5,000.
Self-service kiosk: SEK 22,000–35,000 per unit including stand, screen and card terminal. KDS screen: SEK 6,000–9,000.
Card fees
Card fees typically run 0.9–1.5% of every card transaction. Use 1.2% as a benchmark for restaurants. Some vendors hide the card fee inside the monthly fee — always ask for the total.
Online channels and commission
If you sell on Foodora or Wolt, 25–35% disappears in commission. Your own online ordering typically costs 0–3% in transaction fees. Worked example for Foodora and Wolt shows exactly how much disappears in fees.
Hidden fees to ask about
- Activation and installation fees (can be SEK 4,000–8,000).
- Cost per extra terminal or screen.
- Lock-in period and early termination cost.
- Are SIE export and Fortnox integration included or extra?
- Support outside office hours.
- Price for cloud backup and report storage.
Worked example
A lunch restaurant with 2 registers and 1 KDS typically lands at SEK 18,000–28,000 in hardware and SEK 1,200–1,800/month in software. Use the calculator for an exact total based on your volume.
Industry benchmark
Total IT cost for a mid-size restaurant lands at 1.5–2.5% of revenue. Anything above 3% should be reviewed — either the hardware is over-spec'd or a switch is overdue.
